Role profile - general secretary

1.      Constitution and rules

Be the guardian of the club’s constitution and rules. Redraft these as necessary as the club changes and present such amendments to the committee for proposed adoption by the membership at a general meeting.

 2.      Committee meetings

Arrange venues and facilities for committee meetings.

Produce, with the Chair, agendas for committee meetings and email these with any accompanying papers to committee members no later than seven days before the meeting.

Produce, with the Chair, minutes of committee meetings and email these to committee members no later than seven days after the meeting.

Produce summaries of committee meetings and email these to members no later than seven days after the meeting.

3.      General meetings

Arrange venues and facilities for general meetings.

Give the correct notices for general meetings as the club rules require.

Produce, with the Chair, agendas for general meetings and email these with an annual report and any other accompanying papers to members no later than seven days before the meeting.

Produce, with the Chair, minutes of general meetings and email these to members no later than seven days after the meeting.

4.      Events / Rides coordination

Produce an events list for each year, recruiting leaders as necessary and email the list to members as early as possible in the year.

Monitor the calendar on the club’s website to ensure ride leaders are updating and add other events.

Provide WebCollect database access for ride leaders, and removing the latter as necessary.

5. Writing and promotion

Send (and as necessary, write) emails to membership.

Keep policy and other documents up to date, eg: Riding with us on the road, Keeping children, young people and vulnerable adults safe, Privacy policy, Equality policy.

6. General club contact

Respond to miscellaneous enquiries from members, prospective members and their relatives, guest riders and other members of the public, local traders, local government, the police, donors to the club, etc. Pass these on as appropriate to other committee members, ride leaders, other club members, etc.

 7. Miscellaneous

Organise or co-ordinate miscellaneous activities, such as:

  • First aid courses

  • Club surveys

  • Ensure the club is represented at funerals
